Privacy Policy

This Privacy Policy explains what information Motilo Health ("we," "us," or "our") collects through our website and web application (the "Service"), how we use it, and who we share it with. It applies to every user of the Service — most of whom are self-serve, individual users — as well as coaches, physiotherapists, team staff, clients, and players connected through a Coach or Team account.

We collect information you enter into the Service yourself, or — if you're connected to a Coach or Team account — that your coach/team enters, including:

• Account information — name, email address, and role (self-serve client, coach, team staff, or player).
• Diary entries — training, nutrition, mood, sleep, and weight entries you choose to log.
• Training records — programs, sessions, exercises, and session ratings, including the goals and equipment you provide when generating an AI program.
• Team and health-adjacent records — for sports teams, injury cases, injury check-ins, and appointment requests entered by staff or players.
• Spotify connection — if a coach chooses to connect a Spotify account to build class playlists, we store the connection needed to create and manage those playlists.

We do not use advertising or analytics tracking cookies. The only cookies we set are essential session cookies needed to keep you signed in.

• To provide and operate the Service — generating and showing you your own training program and progress, or, for a Coach/Team account, showing a coach their clients' data and clients their own.
• To generate an AI-assisted training program or class when you (or, for a Coach/Team account, a coach) request one.
• To send operational emails (for example, confirmations, invitations, password resets, and comment notifications).
• To maintain the security and reliability of the Service.

We do not sell your information, and we do not use your health-adjacent data for advertising.

A self-serve user's data is not shared with any other user of the Service. If you're connected to a Coach or Team account, your data is visible to the coach(es) you're connected to; on a team, injury and appointment records are visible to the team's staff as designed into the Service. We also share limited information with the following service providers, solely to operate the Service:

• Supabase — hosts our database and handles account authentication.
• Resend — delivers transactional emails (invitations, notifications, password resets).
• Anthropic — processes the goals, equipment, and other relevant details you provide to generate an AI-assisted training program or class, only when you (or a connected coach) request that feature.
• Spotify — only if a coach connects their account, to build class playlists.
• MuscleWiki — supplies the exercise names, instructions, and video shown in the Service. Exercise data and videos provided by MuscleWiki.com.

These providers are permitted to use the information we share with them only to provide their service to us. We do not share your information with third parties for their own marketing purposes.

We retain account and training data for as long as your account is active, so the Service can function as intended. If you ask us to delete your account, we delete or anonymize your personal data within a reasonable period, except where we are required to retain it for legal reasons.

We rely on our infrastructure providers' security controls (encryption in transit, access controls) and apply our own access restrictions so that your data is only visible to you and, if you're connected to a Coach or Team account, to your coach and, on a team, the relevant staff. No system is perfectly secure, and we cannot guarantee absolute security.

You can request access to, correction of, or deletion of your personal data, or ask us what data we hold about you, by emailing support@motilo.is. If your data was entered by a coach or team on your behalf, you can also direct that request to them.

The Service is intended for users 16 years of age or older. If you're under 18, you confirm that a parent or guardian is aware of and permits your use of the Service.

Some teams using the Service include minors (for example, youth sports players), added by a team's staff rather than by the minor themselves. Staff and coaches are responsible for having the appropriate consent to enter a minor's information into the Service.

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify you.
